Better Than Tents Events is a trading name of Whatever Whenever Solutions

Conditions of service

It is the hirers responsibility to follow these conditions.

If the hirer is in any doubt as to the meaning of the conditions a representative from Whatever Whenever Solutions should immediately be consulted.

The hirer will, during the period of hire, be responsible for the supervision of the equipment, its care, safety from damage however slight of any sort and the behaviour of any person at any age using the equipment.

Whatever Whenever Solutions reserve the right to refuse hire at any point we feel the conditions have not been met.

Hire conditions

Hirers must be aged 18 years or over, identification will be required on request.

It is the hirers responsibility to check all required dimensions for the space and access needed for our tent and associated equipment.

Power and access to power needs to be provided at the hirers cost. All our space requirements will be clearly laid out to you before hiring.

Upon arrival, where equipment will not fit within the desired area, Whatever Whenever Solutions reserve the right to 100% of hire costs.

The area for the tent needs open access, and be flat and grassed unless previously arranged (Please enquire for hard standing details).

All hire is subject to a refundable condition deposit.

Overnight hire is subject to secure garden and refundable security deposit.

Care and security information will be given upon delivery of the tent.

Whatever Whenever Solutions reserve the right to refuse hire if our equipment is at any security risk.

Two-forms of identification will be required for all overnight hires.

Public liability insurance is excluded in its entirety following any claim or injury to any third party or employee, whether directly or indirectly related to the use of drugs and/or alcohol.

Whatever Whenever Solutions excludes any liability for injury, loss or damage caused to any person using the equipment contrary to our terms and conditions.

Booking fees and charges

Your booking fee is a non refundable fee, covering our administrative costs when reserving your tent.

Booking fees are to be paid immediately, when equipment and dates have been reserved. Whatever Whenever Solutions will not hold any dates for tents without a booking fee paid.

Bookings are subject to 25% booking fee of total hire costs with the final balance due 14 days prior to the event date.

Whatever Whenever Solutions require payment in full 14 days prior to the event date for ALL events.

Please bear in mind we will not deliver to an unsecured location without the hirer being present.

Whatever Whenever Solutions will require a call out charge of £35 per hour or part of, if needed to attend any event/premises where fault is not regarded as our own.

Any damage to any equipment provided by Whatever Whenever Solutions while at the venue or as a result of actions of the hirer, will be charged to the hirer accordingly, subject to the condition deposit.

Please treat our equipment with respect, mistreated, dirty tents when being collected will incur a minimum £100 cleaning charge taken where appropriate from the tent condition deposit.

Cancellations

Hirers may cancel bookings by giving a minimum of 14 days notice (Booking fees; and charges apply).

If the hirer cancels giving 30 days notice, the booking fee will be retained and any balance / deposits will be refunded. Cancellations within less than 30 days will be liable for the whole hire costs.

Cancellations for adverse weather situations will NOT be refunded.
Whatever Whenever Solutions will not cancel a booking due to adverse weather conditions. The decision rests totally with the hirer, unless severe winds above 30mph are forecast.

Hirers, following cancellations to bookings for adverse weather conditions, are given four weeks from the original booking date to re-book any assets, after such time booking fees can NOT be transferred.

You can move the booking date ONCE within any four week period, subject to assets being available.

In such an event the assets are unavailable, we will allow like for like assets to be chosen.

Refunds will be paid back to the account/payment method you provided when booking your assets.

Whatever Whenever Solutions reserve the right to cancel any booking, where there is a potential health and; safety risk to the hirer, their guests or the public.

We operate a common-sense approach in regard to weather conditions. Whatever Whenever Solutions will not change our decision, our decision is final.

Please bear in mind, after equipment is installed, weather conditions may not make the equipment suitable for use.

Delivery

The cost of delivering to a particular area will be determined when we are informed of the location and terrain of the chosen area.

We may be able to deliver outside the areas available on our website. If you are outside of the areas shown on our website, please contact us to see if we can help you out.

If we are unable to provide your delivery due to adverse weather, vehicle failure, illness or any other factor, we will inform you of this as quickly as reasonably possible.

Delivery times can be arranged during the booking process.

Upon delivery the hirer must sign our hire agreement and pay any remaining balance when accepting delivery of the assets. Whatever Whenever Solutions will NOT deliver any assets without the final balance paid (including any deposits requested) either on delivery or prior to the event date as in accordance with the above booking fees and charges.

Please ensure that there is adequate space for our products, that the location our products will be sited is accessible, and that you have cleared the area of mess and debris.

You will be liable for the whole hire costs if we cannot deliver your product due to a lack of space or accessibility or due to an inappropriate location.

Terms of use

No smoking on or within 2m of the tent and its accessories.

Do NOT attempt to move the tent once secured in position, Only trained personnel may move the inflatable.

The hirers must ensure no more than the recommended number of users are allowed in the tent at any one time.

The hirers must make sure that the exits to the tent are not blocked.

The operator must ensure the unit remains intact and should regularly inspect the Inflatable and its anchorage for any signs of loosening. In the event of failure, all users are to be safely removed and the inflatable restored to safe operation.

Accidents must be reported in the relevant accident book, including dates and accounts of what occurred and signed by the injured third-party representative.

Weather conditions are to be monitored, taking the inflatable out of use, when wind speeds exceed 30mph.

The blower is to be checked regularly to ensure it remains in place. In the event of loss of pressure, the hirers must check no rubbish is restricting the fan from its operation.

No member of the public should have any access to the blower or its electric sockets. No electrical equipment should be unplugged by the hirers.

In the use of a generator there must be on site support and the hirers should not touch the electrical equipment.

Seams and zips must be monitored for any tears.

The hirer will be deemed to have inspected the equipment and any accessories and will have agreed that it is supplied in good condition unless brought to the attention of Whatever Whenever Solutions when erecting the inflatable.

The hire period will have been agreed within email prior to delivery of the inflatable. Any obstruction by the hirer or their guests will be charged at £100 per hour or part of.

The hirer shall not use cooking equipment, lighting or electrical appliances or decorate the interior/exterior of the tent without prior consent from the Company. Any damage/soiling resulting in such use that may require repair or cleaning will be charged to the hirer.

Ownership

All equipment hired remains at all times the sole property of Whatever Whenever Solutions ltd. You may not sub-hire or part with possession of the equipment and you may not allow any lien or encumbrance to be created over the equipment.

Flooring or ground

It is expected that if flooring is ordered the ground will be suitably flat to accommodate the type of floor used.

Whatever Whenever Solutions cannot be held responsible for any uneven finish to the floor caused by pitting or bumps on the surface beneath, the hirer should arrange to level surfaces as much as possible prior to tent erection.

If the tent build is delayed or cancelled due to the site being ill prepared this may result in loss of the booking deposit and the Whatever Whenever Solutions cannot be held liable.

Grass surfaces must be cut short and all debris including fouling by dogs must be removed prior to the build.
